ShipHero is a warehouse management system (WMS) used by e-commerce brands and third-party logistics (3PL) warehouses to manage inventory, orders, and purchase orders. With the Power My Analytics ShipHero connector, you can bring your ShipHero inventory levels, order lines, and purchase order lines into your reports. This guide covers what you need before you connect, how to add ShipHero as a data source, how to build your first report, and where to find the available fields.
ShipHero is an Alpha connector. It is newly released and available for early access, so fields, configuration options, and behavior may change as we build it out. If ShipHero does not appear when you add a new source in your Hub,
submit a ticket to request access. We will expand this guide as the connector develops, and your feedback helps shape what comes next.
Prerequisites
Before you begin, make sure you have:
- Access to the ShipHero account that holds your inventory, orders, and purchase orders. If a 3PL runs your warehouse on ShipHero, this is the account your 3PL set up for you.
- A dedicated ShipHero user for Power My Analytics (recommended), with API access turned on by a ShipHero administrator. New ShipHero users do not have API access until an administrator enables it.
- Multi-factor authentication (MFA) turned off for that user. ShipHero blocks API access for users with MFA on.
- The user's email and password. You will enter them in your Hub once; Power My Analytics uses the password to sign in and does not store it.
Adding ShipHero as a Data Source
- In your Power My Analytics Hub, select Sources from the menu.
- Click + Add new source and choose ShipHero from the gallery. You can type "ShipHero" in the search box to find it quickly.
- Enter the ShipHero user's Email and Password, and optionally a Name to help you identify the account, then click Connect.
Your ShipHero account appears as one account under your ShipHero data source, labeled with the name you entered (or the user's email), and Power My Analytics begins backfilling up to 24 months of your order and purchase order history.
Creating a Data Studio Report
- In your Hub, go to Reports > Data Studio and click the orange + Create report button.
- In the Templates window, select Single sources, find ShipHero, and click Open in Data Studio.
- In Data Studio, click Authorize if you are prompted, then select your Power My Analytics Hub and the ShipHero account you connected.
- Under Warehouses, select the warehouses you want to report on. Each warehouse is listed with its company name, warehouse name, and ShipHero warehouse ID, and inactive warehouses are marked (inactive).
- Click Connect (top right), then click Create report.
Key Reports and Fields
The ShipHero connector provides three tables. Here are the metrics available in each:
- Inventory (current stock for each SKU in each warehouse, refreshed with every sync): On Hand, Available, Allocated, Backorder, Inbound, Reserve Inventory, Non Sellable Quantity, In Tote, Sell Ahead, Reorder Level, Reorder Amount, Replenishment Level, Replenishment Max Level, Replenishment Increment, Price, Value, Customs Value, and the product flags Active, Kit, Dropship, and Custom (1 for yes, 0 for no).
- Orders (one row per order line, dated by order date): Quantity, Quantity Allocated, Quantity Pending Fulfillment, Quantity Shipped, Backorder Quantity, Price, Subtotal, Promotion Discount, Line Cost, Customs Value, and Priority Flag.
- Purchase Orders (one row per purchase order line, dated by the date the purchase order was created): Quantity, Quantity Received, Quantity Rejected, Open Quantity, Price, Line Cost, and Sell Ahead.
To break down and group your data, use dimensions such as SKU, Product Name, Warehouse Name, Warehouse Company, Inventory Bin, and Barcode (Inventory); Order Number, Order Date, Fulfillment Status, Shop Name, Source, and Shipping Method (Orders); PO Number, Vendor Name, Vendor SKU, Expected Arrival Date, and Fulfillment Status (Purchase Orders); and date parts such as Week, Year Month, and Day Of Week (Orders and Purchase Orders).
Inbound, Open Quantity, and Line Cost are calculated by Power My Analytics:
- Line Cost is the line's quantity multiplied by its unit price, so you can total an order or purchase order by summing its lines.
- Open Quantity is the units on a purchase order line still to arrive: quantity ordered less quantity received less quantity rejected, or 0 once the purchase order is closed or canceled.
- Inbound is the Open Quantity of every open purchase order line for the SKU, added up, so you can plan stock as Available plus Inbound.
Limitations and Important Considerations
- Backfilling: Power My Analytics backfills up to 24 months of your order and purchase order history when you first connect your ShipHero account as a data source. Large accounts can take longer to finish, because ShipHero limits how much data can be requested at a time.
- Alpha connector: While ShipHero is in Alpha, fields, configuration options, and behavior may change. If a field is renamed or removed, you may need to update the reports that use it.
- Inventory is a current snapshot: Each sync replaces your inventory rows with ShipHero's current stock levels. Inventory history is not kept, so the report date range does not change inventory values.
- Orders and purchase orders stay up to date: Each sync picks up new orders and purchase orders and any that changed since the last sync, so a status change on an older order still reaches your reports without a manual backfill.
- Dates are in UTC: Order dates, purchase order dates, and timestamps are reported in UTC, as ShipHero stores them.
- Inbound and ShipHero's On Order column: Inbound and Open Quantity count every purchase order status except closed and canceled. ShipHero lets each account choose which statuses count toward its own On Order column, and that setting is not available to Power My Analytics, so the numbers can differ. To match your own rules, add Fulfillment Status to a Purchase Orders table and sum Open Quantity for the statuses you count.
- Order lines, not order totals: The Orders table has one row per order line. Order-level totals such as shipping, tax, and the order total are not included; sum Line Cost or Subtotal to total an order's lines.
- Currencies: Amounts are reported as ShipHero records them, without conversion. Use Currency on the Orders table and Value Currency on the Inventory table when you work with more than one currency.
- Bins: Inventory Bin is the pickable location holding the most units of the SKU, and Inventory Overstock Bin lists the other locations holding it, most units first. Kits have no bins.
- Shared 3PL warehouses: If your 3PL's warehouse also serves other brands, your reports include only the products, orders, and purchase orders that belong to your ShipHero account.
Unavailable Data
The following ShipHero data is not currently available through the Power My Analytics ShipHero connector:
- Stock quantity per bin or location (bins are listed, but not the units in each)
- Shipments, tracking numbers, and shipping labels
- Customer names, email addresses, and shipping addresses
- Order-level totals, shipping charges, and taxes
- Inventory history and inventory changes over time
- Returns
- ShipHero's On Order column (use Inbound instead)
If there is a ShipHero field or report you would like to see, please
submit a ticket with a description or screenshot of what you need. Requests during Alpha help us decide what to add next.
Troubleshooting
If your ShipHero data does not look the way you expect, start with
Basic Troubleshooting. A few ShipHero patterns are worth checking first:
- "ShipHero rejected the email or password": Check the email and password, and confirm that a ShipHero administrator has turned on API access for the user and that MFA is off.
- "ShipHero refused this login" or "ShipHero did not answer": ShipHero was briefly unavailable. Wait a few minutes and try again. If it keeps happening, ask your ShipHero administrator to confirm API access is on for the user.
- Your data source stopped syncing: The user may have been removed, had API access turned off, or had MFA turned on in ShipHero. Fix the user in ShipHero, then connect your ShipHero source again.
- Inbound does not match ShipHero's On Order column: See Inbound and ShipHero's On Order column above.
- A warehouse or its data is missing: Check that the warehouse is selected under Warehouses in your Data Studio data source, and that the ShipHero user can see that warehouse.
