Zoho Billing (formerly Zoho Subscriptions) is Zoho's subscription billing and invoicing platform. With the Power My Analytics Zoho Billing connector, you can bring your Zoho Billing subscriptions, invoices, invoice line items, customers, payments, credit notes, plans, add-ons, and transactions into your reports. This guide covers what you need before you connect, how to add Zoho Billing as a data source, how to build your first report, and where to find the available fields.
Zoho Billing is a Beta connector. It is available and supported now, and it appears in your Hub's source gallery with a BETA label. While it is in Beta, some fields and behavior may still change as we continue to improve it. We will expand this guide as the connector develops, and your feedback helps shape what comes next.
Prerequisites
Before you begin, make sure you have:
- An active Zoho Billing account with the organization you want to report on.
- A Zoho login with access to that organization. Your Zoho Billing role needs permission to view Subscriptions, Invoices, Customers, Payments, Credit Notes, Plans, and Add-ons; if your role cannot view one of these, its table in Power My Analytics comes back empty.
- Your Zoho sign-in credentials. Zoho Billing connects with a standard Zoho sign-in, so there is no API key to copy. Your Zoho data center (US, EU, UK, India, Australia, Japan, Canada, or Saudi Arabia) is detected automatically when you sign in.
Adding Zoho Billing as a Data Source
- In your Power My Analytics Hub, select Sources from the menu.
- Click + Add new source and choose Zoho Billing from the gallery. You can type "Zoho" in the search box to find it quickly.
- Give the data source a name you will recognize, then click Connect.
- Sign in to your Zoho account and click Accept to give Power My Analytics read-only access to your Zoho Billing data.
Your Zoho Billing organization appears as one account under your Zoho Billing data source, labeled with the organization's name. Each data source connects one organization: the one marked as your default organization in Zoho Billing (or your first organization, if none is marked as default).
Creating a Data Studio Report
- In your Hub, go to Reports > Data Studio and click the orange + Create report button.
- In the Templates window, select Single sources, find Zoho Billing, and click Open in Data Studio.
- In Data Studio, click Authorize if you are prompted, then select your Power My Analytics Hub and the Zoho Billing account you connected.
- Click Connect (top right), then click Create report.

Transactions (one row per invoice, payment, or refund event in your billing ledger)
- Metrics: Amount and ACH Payment Initiated
- Dimensions such as Transaction Type, Transaction ID, Reference ID, Status, and Date
A few tips for working with these fields:
- Customer details travel with your data. Customer fields such as Company Name, Display Name, and Outstanding are also available in the Subscriptions, Invoices, Payments, Credit Notes, and line item tables. Invoice fields such as Number, Status, Total, and Due Date are available in Invoice Line Items, and credit note fields are available in Credit Note Line Items, so you can combine them without building a blend.
- Use Item Total for line-level revenue. Price is the price of one unit; Item Total is what the line came to. For an average price, divide Item Total by Quantity rather than averaging Price.
- Yes-or-no flags: Auto Collect, Has Attachment, and ACH Payment Initiated are 1 (yes) or 0 (no), so adding them up gives you a count of "yes" records. Has Activated is a true or false dimension.
- Counting records: There is no record count metric. To count subscriptions, invoices, or customers, use Subscription ID, Invoice ID, or Customer ID with the Count Distinct aggregation.
- Organization appears in every table as the numeric ID of your Zoho Billing organization. It is listed as a metric, but it is an identifier, so do not add it up. The same goes for Item Index, which is a line's position on its invoice or credit note.
Limitations and Important Considerations
- Current-state tables: Subscriptions, Invoices, Customers, Payments, Credit Notes, Plans, and Addons are refreshed in full with every daily data sync. They always include every record in your Zoho Billing organization (including draft and void invoices and inactive customers) as it looks today. Earlier versions of a record, such as an invoice's status last month, are not kept.
- Backfilling: Invoice Line Items, Credit Note Line Items, and Transactions build up history over time. When you first connect, Power My Analytics backfills 90 days of invoice line items, 365 days of credit note line items, and 2 years of transactions. To bring in older invoice line items, run a manual backfill from Sources > Action > Backfill data range.
- Report date ranges: Your report's date range filters each table by its own main date: Subscriptions by Activated At, Invoices and Invoice Line Items by Invoice Date, Payments by Payment Date, Credit Notes and Credit Note Line Items by the credit note's date, Transactions by the transaction date, and Customers, Plans, and Addons by Created Time. On the current-state tables, the Date field is the date of the latest data sync, not a billing date.
- Gross revenue: Invoice and invoice line item amounts are not reduced by credit notes. Credit notes (including the credit notes Zoho Billing creates for refunds) are in their own tables.
- Activation dates: Zoho Billing fills Activated At for every subscription, including the scheduled activation date of trials that never activated. To find subscriptions that actually activated, use Has Activated and Activation Date. Former customers who started a new trial show Has Activated as true with no Activation Date, because Zoho Billing does not keep their original activation date.
- Plan and add-on codes: On line items, Code holds the plan or add-on code for the line. Plan codes and add-on codes share this field, and Code is blank on lines not tied to a plan or add-on. Subscriptions include Plan Name but not the plan code, so the Plans table cannot be joined to Subscriptions.
- Add-on prices: For add-ons with volume, tier, or package pricing, Price shows the price of the first pricing bracket only.
- Payments and invoices: Payments list the invoices they were applied to in Invoice Numbers, a text field that can hold several invoice numbers. Payment details such as amount paid and payment date are on the Payments table, not the Invoices table.
- Edited invoices: If an invoice is edited to remove a line, the removed line can remain in Invoice Line Items. Voided invoices are reflected in the invoice Status field.
- Taxes: Line items include Tax Percentage but not the tax amount.
- One organization per data source: Each Zoho Billing data source connects one Zoho Billing organization.
- Zoho API limits: Zoho Billing allows each organization 100 API requests per minute and a daily request quota that depends on your Zoho plan. These limits are shared with your other Zoho integrations. Power My Analytics retrieves line item details one invoice at a time within these limits, so a first sync or a large backfill can take a while.
- Beta connector: While Zoho Billing is in Beta, fields, configuration options, and behavior may change. If a field is renamed or removed, you may need to update the reports that use it.
Unavailable Data
The following Zoho Billing data is not currently available through the Power My Analytics Zoho Billing connector:
- MRR, ARR, and customer lifetime value (LTV). Zoho Billing calculates these in its own reports and does not provide them through its API.
- Net revenue after credit notes as a ready-made field (see Troubleshooting for how to calculate it)
- A dedicated Refunds table. Refunds appear in the Transactions table with a Transaction Type of refund.
- Tax amounts for individual line items
- Payment details on the Invoices table, such as last payment date, amount paid, and credits applied
- A field that tells plan codes and add-on codes apart
- Earlier versions of subscriptions, invoices, customers, and other current-state records
If there is a Zoho Billing field or report you would like to see, please
submit a ticket with a description or screenshot of what you need. Requests during Beta help us decide what to add next.
Troubleshooting
If your Zoho Billing data does not look the way you expect, start with
Basic Troubleshooting. A few Zoho Billing patterns are worth checking first:
- Your revenue is higher than Zoho Billing's Sales by Addon report: Zoho's report is net. For each add-on code, it adds up the line items on paid invoices dated in the period and subtracts the credit note line items dated in the period. To match it, blend Invoice Line Items (filtered to paid invoices) with Credit Note Line Items (excluding void credit notes) on Code, then subtract the credit note Item Total from the invoice Item Total.
- A chart by Date shows everything on one day: On the current-state tables, Date is the date of the latest data sync. Chart by the table's own date instead, such as Invoice Date, Payment Date, Creditnote Date, or Activation Date.
- You see fewer subscriptions, customers, plans, or add-ons than expected: Your report's date range filters Subscriptions by Activated At and Customers, Plans, and Addons by Created Time. Widen the date range to include older records; subscriptions scheduled to activate in the future fall outside a date range that ends today.
- Older invoice line items are missing: The first backfill covers 90 days of invoice line items. Run a manual backfill from Sources > Action > Backfill data range to bring in older lines.
- Subscriptions show as activated that never activated: Use Has Activated and Activation Date instead of Activated At.
- A table is empty: The Zoho user who connected the source may not have permission to view that module in Zoho Billing. Update the user's role in Zoho Billing (or connect with a user who has access), then reconnect your source from Sources > Action > Reconnect source.
- The wrong organization is connected: Power My Analytics connects your default Zoho Billing organization. See How to Connect to Zoho Billing to connect a different organization.
- New fields are missing in Data Studio: Open your Zoho Billing data source in Data Studio and click Refresh fields.
