Troubleshooting HubSpot

Troubleshooting HubSpot

Info
HubSpot is a customer relationship management (CRM) and marketing automation platform that provides data on your contacts, deals, companies, email campaigns, forms, and more. This article is a central index of troubleshooting resources to help you resolve common issues with your HubSpot connector in Power My Analytics.

Getting Started with HubSpot

If you are new to HubSpot reporting or need help setting up your data source, start with these guides:

  • HubSpot Data Connector User Guide: How to add HubSpot as a data source, create Data Studio reports, and understand available metrics, report types, and connector limitations
  • How to Connect to HubSpot: Step-by-step instructions for authenticating and connecting your HubSpot account to the hub
  • Basic Troubleshooting: General troubleshooting steps that apply to all PMA connectors, including how to read error messages and reconnect data sources

Connection and Authorization Errors

If your HubSpot data source shows as Disconnected, or you are encountering errors when connecting or refreshing data, start here:

  • Disconnect and Reconnect a Source from Your Hub: How to fully disconnect and re-authenticate a HubSpot data source in your hub to resolve persistent authorization errors
  • How to Reconnect a Disconnected Data Source: Steps to reconnect a HubSpot data source that has become disconnected due to expired credentials or other issues
  • Connecting HubSpot when your plan doesn't include Knowledge Base? You don't need to upgrade HubSpot. The Content permission HubSpot asks for during setup is optional; if your plan doesn't include it, PMA drops it and the connection still completes. You'll still get Contacts, Companies, Deals, Line Items, Tickets, Forms, Email and Channel reporting; only Landing Pages and Blog Posts reporting need the Content permission. If you're told a HubSpot plan upgrade is required to connect for CRM-only reporting, that's not accurate; contact support with your hub name and we'll look at the permission list.

Missing or Incorrect Data

If your HubSpot reports are returning empty results, missing rows, or unexpected values, start here:

  • Why Is My HubSpot Contacts, Deals, or Companies Report Missing Data?: How the 500,000-record limit works for Contacts, Deals, Companies, and Line Items; how to recognize the in-hub notification; and how to restore the affected report
  • How to Filter Out Deleted Deals in HubSpot: How to use Data Studio or spreadsheet filters to exclude deleted deals that continue to appear in reports due to a HubSpot API limitation
  • Looking for HubSpot Lead fields and can't find them? HubSpot's standalone Leads object (from HubSpot's prospecting workspace) is not currently reportable in Power My Analytics, so its Lead fields do not appear in the Schema Explorer or in your reports. See the Unavailable Data section of the HubSpot Data Connector User Guide for the reporting routes that do work (the Contacts object's Lead Status field, Custom Objects, and contact-context fields on a Deals report).
  • Can I report on HubSpot deal tags? HubSpot deal tags are not currently reportable in Power My Analytics; no tag field appears in the Schema Explorer or in reports for the deals object. See the Unavailable Data section of the HubSpot Data Connector User Guide for why (tags are stored as IDs, not names) and for the custom-deal-property workaround that works today.

General HubSpot Troubleshooting Tips

If you are unable to find a solution in the sections above, try these general troubleshooting steps:

  1. Reconnect your data source. Many HubSpot errors can be resolved by disconnecting and reconnecting your HubSpot data source in your PMA hub. This refreshes your authentication credentials and restores data access.
  2. Check HubSpot account permissions. The HubSpot account connected to PMA must have Admin, Super Admin, or Owner (full access) permissions. Verify the role assigned to the connected account in HubSpot before contacting support.
  3. Check your record counts. HubSpot Contacts, Deals, Companies, and Line Items reports are unavailable when the corresponding list exceeds 500,000 records. Check your record counts in HubSpot and filter the affected list below the threshold if needed.
  4. Understand live-only data. The following HubSpot fields and tables are live data only and cannot be backfilled or grouped by date: utm_campaign, utm_source, utm_medium, utm_content, utm_term, forms, forms_daily, pages, and landing_pages. Reports relying on these fields will only include data from the time of connection onward.
  5. Verify your HubSpot plan. Certain reports (including Geo, Sources, Landing Pages, and Email Stats) are only available on specific HubSpot plans. If a report is returning no data, confirm that your HubSpot plan includes access to that report type. Refer to the HubSpot Data Connector User Guide for the full plan availability table.
